This Privacy Notice explains how personal data is handled when you contact QuorumLab Finland, use Start a check or choose to receive QuorumLab research and updates.

What information do we receive

If you contact us by email, we receive the information you choose to include in your message. This may include your name, email address, job title, company details and the content of your enquiry.

The diagnostic form on the home page asks for:

• website;
• full name;
• job title;
• work email.

On the Start a check page, you first choose whether the check concerns an organisation or a person, and we ask for:

• for an organisation: the organisation name, and its website if available;
• for a person: their full name, and optionally their organisation or professional role and a public profile or website;
• your email address, and your own name if you wish to give it.

Only the email address and the name of the organisation or person being checked are required; everything else is optional.

We ask for this information to prepare and deliver the demo check. If required information is not provided, we may not be able to process the request.

For a demo check, we may also review relevant information available from publicly accessible websites, databases and platforms, and record the sources and observations needed to prepare the two briefs.

Please do not send confidential documents, contracts, internal materials, client data or other non-public information in your first message or through Start a check.

If such material is needed later, we will agree a suitable way to exchange it.

Why do we use this information

We use personal data only for purposes connected with your request or our business relationship.

For enquiries and demo checks, we use the information to respond to you, carry out the requested check, understand the task and continue the related business communication. This processing is based on our legitimate interest in responding to professional enquiries and providing the requested business interaction.

Where processing is necessary to prepare or perform an agreement with you, it may also be based on steps requested before entering into a contract or on the performance of that contract.

Where information must be retained to meet accounting or other legal requirements, processing is based on a legal obligation.

We do not sell personal data or provide it to data brokers or advertising networks.

QuorumLab research and updates

You may separately choose to receive QuorumLab research, Insights and occasional updates.

This subscription is optional and is not required to receive a demo check or contact QuorumLab.

If you subscribe, we use your email address for this purpose based on your consent.

You can unsubscribe or withdraw your consent at any time.

How long do we keep your data

Information relating to an enquiry or demo check is normally kept for six months after the last contact.

If the enquiry leads to a contract or project, relevant information may be kept for longer where this is necessary to manage the relationship or meet legal and accounting requirements.

If you subscribe to QuorumLab research and updates, your contact information is kept until you unsubscribe or withdraw your consent, subject to any limited records we may need to retain to respect that request.

Service providers and technical data

We use external service providers where necessary to operate the website, email and related communication services.

These providers may process limited personal data on our behalf only where needed to provide those services.

Technical information such as an IP address may also be processed by hosting or security services where necessary to operate and protect the website.

Where a service provider processes personal data outside the European Economic Area, we use an applicable transfer mechanism or safeguard required by EU data protection law.

You can contact us for more information about the safeguards used for international transfers.

We do not provide personal data collected through the website or email to third parties for their own advertising purposes.

Your rights

Depending on the circumstances and the legal basis for processing, you may have the right to:

• request access to your personal data;
• ask us to correct inaccurate or incomplete information;
• request deletion of your personal data;
• ask us to restrict certain processing;
• object to processing based on legitimate interests;
• receive your personal data in a portable format where the right to data portability applies;
• withdraw your consent at any time where processing is based on consent.
